Terms and Conditions –

Club Bookings

Please read these terms and conditions carefully before completing your booking and payment. When you book or purchase a place in one of our clubs, you are agreeing to these Terms and Conditions.

Booking and payments

When booking a term of after school club sessions or holiday club sessions, the full payment for the block of sessions must be paid for in advance through www.storiesandstarlight.co.uk

Please make sure all contact details are up to date and let us know of any changes.

In school sessions - Only pupils of the school in the specified year groups may attend these clubs. Any booking made for a child who does not attend the nominated school, or is not in the specified year group, will be refunded.

Amendment or cancellation by Stories & Starlight

Minimum numbers - Stories & Starlight reserve the right to cancel a session if insufficient places have been booked. A full refund will be given to those who have booked.

Staff Availability – If the session leader is unavailable, a suitable cover teacher may lead the session in their absence. If a cover teacher cannot be found, a full refund will be given for the session.

Force Majeure – we will not be liable to pay any compensation if we are forced to cancel or make changes to any aspect of the agreed sessions due to circumstances beyond our control which we or our partners could not have reasonably foreseen. Such circumstances include, but are not restricted to, war or threat of war, terrorist activity, natural or nuclear disasters, fire, bad weather, cancellation of public transport, heavy traffic or road closures.

Venue availability - If the session venue cancels the session, a full refund will be made to you for the missed session if no alternative venue can be found. On occasion, alternative venues may be found to allow the session to take place.

Amendment or cancellation by you

Stories & Starlight operates a 1 week notice period for cancellation. Refunds will be given for cancellation of a place up to one week prior to the start date of the specified block of sessions. Any cancellations after this point will be refunded pro-rata following the 1 week notice period.

If your child misses a session for illness or any other reason, we are regrettably unable to refund the missed session.

Health and Wellbeing

When signing your child up to take part in sessions, you must make us aware of any health issues, allergies, special educational needs or other needs your child may have. This allows us to make reasonable adjustments for your child if necessary. This can be discussed over the phone with the course leader before sessions begin.

If your child has an inhaler, EpiPen or other similar medical device, they must have it with them in each session. You must make us aware through the booking form if your child has an allergy or medical need.

All Stories & Starlight staff will be DBS checked and there will be at least one first aid trained member of staff at each session.

Safeguarding – Stories & Starlight is committed to keeping children safe. All staff are DBS checked and have received safeguarding training. Any concerns about a child’s welfare should be reported to Helen Brasted at hello@storiesandstarlight.co.uk

First aid – Any incidents will be reported to the adult on collection of the child and recorded in an accident log by the member of staff.

Behaviour

Stories & Starlight encourages kindness, respect and cooperation from all participants, staff, visitors, parents, carers and partners. We are committed to working with everyone to create a culture where all involved feel:

Expectations of participants – We ask that all children show respect to each other, the staff and all visitors by:

-            listening respectfully

-            responding to instructions and requests

-            demonstrating kindness to others

-            respecting the venue and equipment

Expectations of parents and carers – We ask that all parents and carers communicate with Stories & Starlight staff in a professional and respectful manner. Any abuse towards staff will result in the cancellation of your child’s place on the course with immediate effect. No refund will be given under this circumstance.

We reserve the right to cancel a child’s place on a course of sessions if their behaviour does not meet the behavioural policy with immediate effect.

In school sessions - When attending sessions in your child’s school, Stories & Starlight course leaders may liaise with school staff and senior management team if your child’s behaviour has not met the behaviour policy.

Collection

Children should be collected by the nominated adult as indicated on the booking form. Children will not be allowed to leave with a different adult or leave by themselves unless written permission has been obtained from the child’s parent or guardian. This is to ensure the safety of the child.

Late collection – Children must be collected on time after a session. If collection is more than ten minutes late, a reminder will be given. If this happens on more than one occasion, it may result on your child not being accepted back to future sessions.

In school sessions – If a child is not collected on time from a session in your child’s school, Stories & Starlight course leaders may liaise with the school staff to get in contact with you or revert to the school’s late collection policy. If your child is to remain in school after the session (e.g. to attend a second club or school bus scheme), this must be clearly stated on the booking form or communicated in writing to the course leader prior to the session.

Photography

From time to time, photos may be taken during sessions for marketing purposes. There will be no unauthorised photography from other parties during sessions.

Any photos or videos taken will adhere to parent’s photo consent being given in the booking form.

Complaints

If a participant has a complaint from one of their sessions, please let your Stories and Starlight course leader know so that an appropriate resolution can be made. Course leaders will endeavour to take the complaint seriously and resolve it with you. However, complaints can also be made in writing to either:
